تصميم نــظــام إلـكتـرونــي لأرشفة وفهرسة النتائج والشهادات والخطابات بالتطبيق على كلية النيل

Abstract

المستخلص تهدف الدراسة حول تصميم نظام أرشفة إلكترونية لمكتب الشؤون العلمية بكلية النيل الطبية , تبداء بتعريف مصطلح الأرشيف واقسام الوثائق ومراحلة , ثم تناولت مشاكل التي تتمثل في تلف المستندات وفقدان الكثير منها بسبب التداول اليدوي لها بين الموظفين ومختلف الادارات , وجميع عمليات الحفظ والأرشيف والاسترجاع يتم الاعتماد فيها على قدرات فردية للموظفين القائمين على الأرشفة . ممايجعلها مقصورة علي أفراد ومعتمدة على الخبرات الشخصية . تم إعتماد طريقة البحث التطبيقي لإيجاد حل للمشكلات القائمة لدى المؤسسة وتطبيق النتائج في الواقع لتحقيق الأهداف التي تتمحور في تسهيل عملية الارشفة والإرتقاء بمستوى الكلية ومساعدتها علي الاستفادة من التقدم التقني , وأهم المنافع التي ستعود علي المنشأة من إمتلاكها لنظام لإدارة وثائقها واستراتيجية واضحة لحماية حقوق الناس وسهولة الوصول للمعلومات وبالتالي زيادة الانتاجية وتجنب فقدان أي معلومة وقد يكون لها أهمية للمنشاة أو المجتمع , تم تصميم هدا النظام بإستخدام لغة ال PHP و MySQL مما يتميز بالسهولة والسعة الفائقة في تخزين أكبر عدد من المعلومات في تصميم المواقع والأنظمة .

Abstract The aim of the study is to design an electronic archiving system for the Office of Scientific Affairs at Nile Medical College, beginning with the definition of the term archives and document sections and it’s stages, and then dealt with the problems of documents damage and loss of many of them due to manual trading between employees and different departments, Archiving and retrieval, relying on individual capabilities of archiving staff. Which makes it limited to individuals and based on personal experience. The applied research method has been adopted to solve the existing problems of the institution and to apply the results in practice to achieve the objectives of facilitating the archiving process, improving the level of the college and helping it to benefit from the technical progress and the most important benefits that will return to the establishment from having a document management system and strategy It is designed to protect the rights of people and ease of access to information and thus increase productivity and avoid the loss of any information and may be of importance to the enterprise or community, this system is designed using the language (PHP) and (MySQL), which is characterized by the ease and capacity to store the largest number of Information in v The core of websites and systems.
