Abstract

The Republic of The Sudan Ministry of Higher Education and Scientific Research University of El Neelain Post Graduate College Faculty of Arts Department of Libraries and Information The Archive of the Ministry of Youth and Sport :an Evaluative Study and a Proposal for Development . Prepared by student :Yousif Ali El Sheikh Mustafa El Bakri Supervised by Dr .Ali Salih Karrar Academic degree : PHD Date : 1028 The study aimed to show the current status of the archives of the Ministry of Youth and Sports and how they are preserved and the technical procedures followed in organizing them and then evaluating them in terms of infrastructure and services provided to the ministry's employees and decision makers in the light of its findings The importance of this study emanates from the significance of the archive itself in consideration that it is a memory for the preservation of the important documents of the Ministry of Youth and Sport .This memory in turn, assists the top management in the decision taking processes .Moreover , these documents in their present form are susceptible to damage and loss ,hence it is 11imperative to prepare the building and its requirements for preservation and retrieval of records . The researcher used a number of methods, namely, the documentary (historical) approach in the aspects related to the background and root causes of the research problem and the sources related to the subject of the study, in addition to the descriptive analytical approach, especially in the survey aspect of the archives of the Federal Ministry of Youth and Sports. The main findings of the study are that the present building of the archive is not prepared for the preservation of the documents .The archives of the Ministry consist of documents concerning the different directorates in the Ministry and the affiliated authorities , and they are very important documents. The research has reached a recommendation which is crystallized in a proposal that seeks to improve the site and building of the Archives and ensure its conformity with international standards ,It also aims to give more concern to the staff members of the archives and their training in addition to the improvement of the preservation and technical treatment of the archives .Attention should also be given to the financial resources and the safety and security of records so as to qualify the archives to the stage of the electronic archiving .
