تطوير نظام الإرشيف الإلكتروني بالتطبيق على ملفات العاملين بجامعة النيلين _ إدارة الموارد البشرية قسم الإرشيف

Abstract

ملخص البحث: مع ظهور الحاسب الالى دخلت التكنولوجيا جميع مناحي الحياة والمكتبات والمؤسسات الارشيفية كانت اولى هذه المؤسسات التي غزتها التقنية الحديثة ونسبة للمزايا التي توفرها لنا هذه التقنية ظهر مفهوم الارشفة الالكترونية بالإضافة الى العيوب المتعلقة بالأرشيف التقليدي.والتي كانت البديل التدريجي للأرشفة التقليدية، نتيجة لتطبيقات التكنولوجيا الرقمية التي تمكن من تقديم الحروف والإشارات والأسطر في شكل النظام الثنائي (1،0) ، بحيث يمكن تسجيلها على الوسائط المغناطيسية والضوئية من خلال إجراءات دقيقة، مع إمكانية تحويلها عبر قنوات الإتصال الإلكترونية، وفق بروتكولات تداول المعلومات المقننة. ونجد أن الارشيف الالكتروني هو الأرشيف الذي يعتمد في إنجاز أعماله على الميكنة الحديثة بدرجة عالية، حيث يستخدم الحاسب الألي والإنترنت والأجهزة الإلكترونية في خدمة متخذي القرار وخدمة العملاء. ونجد أن الوثائق الموجودة في إدارة الموارد البشرية في قسم الإرشيف يتم حفظ المعلومات الخاصة بها في دفاتر ويتم حفظ الأوراق الخاصة بالوثائق في دواليب(مخازن)للحفظ . وهذا قد يؤدي إلى حدوث مشاكل عند عملية البحث عنها وكذلك تعرضها للتلف والضرر عند تعرضها للسرقة أو الآفات الضارة وشغلها لحيز مكاني كبير وكذلك صعوبة مشاركتها وضعف أمنيتها. لذلك تم حلها بعمل نظام أرشيف الكتروني لحفظ ملفات العاملين مع تمكين العاملين من الوصول الى البيانات الموجود في الارشيف بطريقة آمنة عن طريق البحث في النظام بإستخدام تطبيق خاص بالإرشيف الإلكتروني عبر الموبايل وذلك لمتابعة إجراءاته بكفاءة عالية.مما يؤدي الى توفير الوقت والحيز المكاني وكذلك سهولة مشاركة الوثيقة من قبل عدد من المستخدمين مع إمكانية إستخراج التقارير من النظام . تم تحليل هذا النظام بلغة الuml مع إستخدام المنهج الوصفي لتحليل البيانات وتمت برمجته بلغة الPHP (personal home page) والأندرويد لعمل ال mobile application للجزء الخاص بالمستفيد.

:Abstract With the advent of the computer, technology entered all walks of life, and libraries and archiving institutions were the first of these institutions to be invaded by modern technology, and in relation to the advantages provided by this technology, the concept of electronic archiving appeared in addition to the defects related to the traditional archive, which was a gradual alternative to traditional archiving, As a result of digital technology applications that enable the presentation of letters, signs and lines in the form of the binary system (1,0), so that they can be recorded on magnetic and optical media through precise procedures, with the possibility of transferring them through electronic communication channels, according to the protocols for the circulation of standardized information. We find that the electronic archive is the archive that depends in the completion of its work on modern mechanization to a high degree, as it uses computers, the Internet and electronic devices in the service of decision-makers and customer service. We find that the documents in the Human Resources Department in the Archives Department are kept their information in ledgers and the papers related to the documents are kept in cupboards (stores) for filing. This may lead to problems when searching for them, as well as exposing them to damage and damage when exposed to theft or harmful pests and occupies a large space, as well as the difficulty of their participation and weak security. Therefore, it was resolved by creating an electronic archive system to save employees' files while enabling workers to access the data in the archive in a safe way by searching the system using a special application for electronic archives via mobile in order to follow its procedures with high efficiency, which leads to saving time and space as well as ease of sharing The document by a number of users with the ability to extract reports from the system. This system was analyzed in UML, with the use of the descriptive method for data analysis, and it was programmed in PHP (personal home page) and Android to make the mobile application for the part of the user.
