Title: Tools of Subject Retrieval in university libraries in Khartoum State:
an analytical study.

This thesis aimed to study the state of the tools of subject retrieval in
university libraries in Khartoum State, and to show how they were
prepared , their availability and effectiveness. The study also showed the
degree of users: satisfaction, and sought to identify the problems facing
those involved in the preparation and the use of these tools. To achieve the
desired objectives of the study the research used descriptive method,
including the survey and the study techniques. The researcher utilized the
questionnaire as the main tool to collect data and required information, in
addition to visits, observation and interviews.
This study consisted of: an introduction which comprised the reasons
for the choice of the research topic, it’s problem, questions, importance
and objectives. It also included the methodology of the study, data
collection, sample of the study, key tenns and finally, previous studies.
Chapter I dealt with technical operations, namely, indexing, classification
and abstracting. Chapter II studied the tools of subject retrieval such as
indexes, abstracts, databases, manuals i..etc. Chapter III was devoted to
the field study, and it addressed the population of the study and focused on
the reality of the tools of subject retrieval in university libraries in
Khartoum State. Finally, the conclusion included the findings of the
search, the most important of which were bibliographic control was
practiced in the university libraries in Khartoum State. Classification and
Indexing were implemented by (100%), and indexing by (66,7%), and
abstracting and the preparation of bibliographies by (55,6%), and finally
preparation of current awareness by (22,2%). The study showed a low
percentage of the users satisfaction with the performance of bibliographic
control, (33,3%) and (22,2%) of the studied sample of those who prepared
the tools of subject retrieval were not professionals (77.8%) of the
remaining sample were professionals. The tools of the retrieval were
available in university libraries of Khartoum State as follows: indexes by
(100%), bibliographies (44,4%) and indexes and abstract (33,3%), and the
guides by (22,2%) and finally by the databases (11.1%). A large
proportion (70,7%) of the users obtained information directly from the
shelves or through information specialists While (16. 3%) of the users
obtained infonnation through the tools of subject retrieval.
The study recommended the provision of tools of biographic control
such as classification schemes and lists of subject headings, rules and
techniques of description, retaining lists, rules of order and thesauri in the
original or a realised from both manual and electronic efforts should be
made to raise performance in the field of bibliographic control through
indexing, classification or abstracting or means of current awareness.
Special concern should be given to Khartoum State university libraries
both specialists and non-specialists. The tools of subject retrieval as
indexes and abstracts, and other traditional and electronic forms should be
provided. Finally the problem of lack of resources and budgets for
university libraries in Khartoum State should be solved so as to enable
these libraries to provide satisfactory services to their users.
